Your operating data, handled properly

Fuel volumes, customer names and job records tell a competitor a great deal about a transport business. That is why this page is specific rather than a generic policy.

What we hold

Fuel transactions and volumes, by vehicle and date
Vehicle registers and telematics distance data
Job or consignment records, including customer names, routes and weights
Depot utility bills, where provided
Contact details for the people we deal with at your business

What we do with it

We use it to produce your statements, reports and tender material, and for nothing else. We do not sell it, share it with other clients, use it to build a public benchmark, or name you as a client without written permission.

Where it lives

Held on encrypted storage, with access limited to the people doing your work. We'll name the providers we use on request, and use Australian regions where a provider offers them
Transferred by a link you control, not as email attachments where practical
Kept for the life of the engagement plus seven years, to match record-keeping norms — or deleted earlier on request, in writing, subject to any legal retention
Returned as files you can keep if you leave, including the underlying calculations

Privacy Act

Most of what we handle is operational rather than personal information, but some — driver names in telematics exports, your staff contact details — is personal. We handle it under the Australian Privacy Principles, only for the purpose described above. Ask us to correct or delete it and we will.

Marketing email

Business emails we send are covered by the Spam Act 2003. Every one identifies us, gives a working way to unsubscribe, and we act on that within five business days. Reply STOP to anything and the address comes off the list permanently.
