How it works

The whole process is built around one assumption: nobody at your depot has spare hours. It is designed around about 90 minutes of your time for the first round — a short call and a couple of exports — and very little after that.

Step 01 · day 1

Set-up call, 20 minutes

What you haul, who your major customers are, which fuel cards and telematics you run, and whether anyone has already sent you a questionnaire. We tell you honestly whether this is worth doing for you yet.

Step 02 · day 1–3

You pull the exports

A checklist with screenshots for your fuel card portal and telematics, plus your job or consignment list. If it's easier, we do it with you on a screen share and you never touch it again.

Step 03 · day 3–10

We map and calculate

Vehicles matched to fuel, fuel matched to jobs, jobs matched to customers. Gaps get flagged and estimated conservatively, and labelled as estimates. Every figure keeps its source, so it holds up when questioned.

Step 04 · day 10–14

Statements and tender pack

A statement per customer, fleet totals, intensity per tonne-kilometre, a methodology note, and the tender paragraph. Then a walkthrough call so you can answer questions about your own numbers without us in the room.

What we need, in plain terms

  • Fuel. Card transactions for the period, and bulk tank deliveries plus the dispensing log if you have a tank. Litres, not dollars.
  • Distance. Telematics export, or odometer readings at each end of the period.
  • Jobs. Date, customer, origin, destination, and weight or pallets. A TMS export or an invoice register both work.
  • Fleet. A rego list with make, model, configuration and fuel type.
  • Optional. Depot electricity bills, refrigeration unit fuel, AdBlue, subcontractor invoices.

What happens after the first round

The mapping is the work. Once your fleet, fuel accounts and customers are set up, each quarter is a matter of sending the same two exports — or letting us pull them, if your fuel card provider supports a read-only login.

When a customer sends a questionnaire, forward it. We answer it in their template, copy you, and keep a record of what was sent to whom. That is usually the moment operators say the subscription pays for itself: it stops being your problem.
